Our website collects different kinds of data. You are able to read which data we collect and why we do so in our privacy statement.

Pirvacy policy

We are happy to be of service to our candidates and clients. For this we use data that can be traced back to individuals. We collect general information about candidates and customers such as name, address, place of residence, training, Chamber of Commerce numbers etc. We process your data in two ways: through our website and through our service procedure.

Website

Our website collects a few things about you as a visitor or user. This is done for the following purposes:

- We collect anonymous data about you and how you use our website, to finally improve our website with the collected data.

- We use the information you provide to contact you.

- We use your personal data for all related work in line of our services, ex. uploaded resumes.

We collect data for research purposes in order to gain a better insight about our customers, so that we can tailor our services accordingly. For this we use "cookies" (text files placed on your computer) to help the website analyze how you as a user use our site. By collecting this information, such as the number of visitors, requested pages, etc., we map the preferences and interests of our visitors. The aim is to tailor our total package of services and information offerings as good as possible to the needs of our visitors. This only concerns numerical data for which the identity of the visitor is not important and so I not saved or stored.

 Functional cookies

These cookies do not collect personal data about you as a visitor and are necessary for the website to work properly.

 Google Analytics

In order to keep track of our customer flows, traffic sources and pageviews, etc., we use Google Analytics. We have modified the settings in such a way that the data is processed securely, by utilizing the following measures:

- a processor agreement with Google;

- masked the last octet of the IP address;

- 'data sharing' is turned off;

- do not use other Google services in combination with the Google Analytics cookies.

Refuse cookies

Most browsers are set to accept cookies by default, but you can reset your browser to refuse all cookies or to set conditions when a cookie should be accepted. However, some features and services on our website may not function properly if cookies are disabled in your browser.

Services

Trinamics is responsible for the secondment and mediation between clients and employees. For the execution of the service and the associated tasks we have to process personal data of various parties, like resumes of candidates, copy of identity documents etc.

They mediate between SME organizations for the acquisition / secondment of new candidates who start working at these companies. The collection and processing of personal data is done for the following purposes:

- Collection and processing of personal data for soliciting new candidates;

- Collection and processing of personal data for organizing and performing Intakes;

- Collection and processing of personal data for Matching CVs and Vacancies;

- Collection and processing of personal data for the payment of salaries and execution of other processing required in the context of the agreement and legal obligations, such as employment rights of employees or invoicing to customers.

- Other personal data where Trinamics has a legitimate interest and does not exceed the limits of proportionality.

Processing

An application by a candidate can enter Trinamics in different ways.

- A job application via the website. The resume is automatically placed in the CRM system. The latter sends an e-mail to the relevant consultant that an application has been received. This e-mail contains, except for what is on the resume, no personal details of the candidate.

- In case of an application through one of the job boards, Trinamics receives an e-mail with the candidate's resume.

- In 'active search' the consultants (who have signed an NDA) get the CVs of potential candidates from different online platforms within Trinamics.

- Mails are also sent directly from candidates with resumes to Trinamics.

 Processing when performing and organizing Intakes

When an intake is conducted with a candidate, there are two possible outcomes

- Not a suitable candidate. The rejected candidate remains with resume in system, for 5 years. When the initial time has passed the resume is anonymized

- Suitable candidate. Resume is drawn up in Trinamics format, the resume of the candidate is retained during the contract with the client.

Processing necessary to 'match' candidates with vacancies

A match between candidate and client is recorded in the CRM system. In case of a match, Trinamics sends the resume in Trinamics format to the client, this can be done by e-mail or by uploading the resume in an online application.

A complete personnel file is created during a placement. The personnel file goes hard-copy in the folder at the administration and digital to an internally secure environment.

Mutation

It is sometimes also possible that a candidate is replaced or the employment contract is changed. This is done through a mutation form. When an employee commences or changes an existing employment contract or assignment, a mutation form is filled in by the consultant, which contains a lot of information about the candidate and the assignment. Form is mailed, printed, and stored digitally and physically.

 

IND - work permit procedure

An application for work permit with the IND may also be provided for candidates. Trinamics does this by logging on to the IND application by using an E-recognition level 3 clearance. Collected data is mailed, printed and stored in physical and digital files.

Processing necessary for payment of salaries and execution of other processing

The salaries are processed in our Salary administration system, all required personal data are entered here. The payslip are e-mailed to the employees and stored on the internal network where only authorized personnel have access to. Payslip are also available for employees in a web portal.

With the pension institution Stipp, digital exchange takes place for pension / participant data, by uploading / downloading, salary / invoice data.

Invoices for customers, which are sent by e-mail, contain the name of the employee, the relevant week to which it relates and the sales rate.

We work together with the following processors:

  • Carerix
  • NoCore
  • Microsoft Office
  • Stipp Pensioen
  • IND
  • Human Capital

All of the aforementioned processors have been legally bound by a processor agreement by Trinamics to ensure data safety.

Term

How long is your data retained?

- Candidate with resume and the like remains in our CRM system for a duration of 5 years.

- Labor file is kept on our internal network;

- Physical Labor file eventually goes to the archive, for an indefinite period of time;

- Other data in which Trinamics has a legitimate interest in it, nevertheless is anonymized or encrypted in such a way that data minimization and efficiency are guaranteed.

Security and rights

We ensure that your personal data is treated safely and with care. Here we have taken both organizational and technical measures, for example external audits carried out on a regular basis, conclude processing agreements with customers and partners, update our employees on privacy and security etc. Would you like to know more about this?
